About the Position

Title:                        Administrative Assistant

Reports to:              Chief Commercial Officer

Business Unit:         Aerial Work Platforms

Location:                 Redmond, WA


  • Provide full range of executive level administrative support to Chief Commercial Officer and other members.
  • Prepare extensive travel arrangements (domestic & international) and itineraries, obtain visas, passports and other travel documents; make changes, as necessary.
  • Schedule, plan and coordinate logistical details for in-house and off-site meetings, including reserving physical space, preparing agendas, distributing materials, planning meals, addressing technology needs, managing invitations, etc.
  • Provide extensive calendar management, including assessment of conflicts and keep leaders informed of commitments.
  • Timely prepare and process time and expense reports.
  • Maintain Closing Scorecard in Excel to track closing deadlines and criteria.
  • Prepare ad hoc reports in Excel as directed.
  • Maintain calendars.
  • Provide support at reception desk, as needed.


Basic Qualifications

  • High School diploma
  • 3-5 years of executive level administrative experience in a corporate setting.

Preferred Qualifications

  • Associate's degree preferred.
  • Flexibility to work overtime as required.
  • Proven ability to balance workload under short deadlines and changing priorities in a fast paced environment.
  • Ability to interact effectively with all levels in the organization.
  • Ability to work independently, manage multiple priorities, multi-task and meet deadlines.
  • Excellent verbal & written communication skills.
  • Superior organizational skills and attention to detail.
  • Ability to handle confidential/sensitive information with discretion
  • Willingness to be trained on and learn new systems, including HFM/SmartView
  • Proficient in Microsoft Office Suite; including complex Excel spreadsheets and PowerPoint presentation design.
